Reporting to the Vancouver location manager as a Project Administrative Assistant, you will play a key role in supporting various projects across the organization. Your responsibilities will include coordinating project activities, managing documentation, and ensuring smooth communication between teams. Your organizational skills and proactive support will be essential in maintaining efficiency and fostering teamwork throughout the organization.
Working in our Vancouver office, you’ll be part of a small, dynamic team with significant opportunities to contribute across various areas as well as being connected to the Administration team in our Calgary office which will help provide you with additional guidance and support. We offer a flexible working environment with the potential for remote-work on occasion; however, this is considered an office-based role. Responsibilities:
- Assist with field logistics which may include:
- Arranging travel accommodations (flights, hotels, rental vehicles).
- Assisting with tracking and managing field resources and equipment, ensuring that logistics needs align with project timeline.
- Grammatical/formatting review of technical documents/reports and proposals.
- Daily office management tasks such as coordinating supplies, managing calendars, and organizing office events.
- Draft and review letters and other communication documents.
- Create and edit PowerPoint presentations and flowcharts.
- Help organize and maintain electronic and hard-copy filing systems.
- Back-up other Administrative Assistants/Project Coordinators as needed.
- Other duties as may reasonably be assigned to you.
- Position Qualifications:
- Minimum of 3+ years of proven experience in administration.
- Applicable university degree, college diploma or certificate – or equivalent experience.
- Must be fluent in English with proficient interpersonal skills including strong verbal and written communication.
- Must legally be able to work in Canada.
- Experience within an EPCM or Mining environment would be considered an asset.
Requirements:
- Detail driven with an eye for consistency and strong with numbers.
- Proficient in the use of Microsoft Suite: Word, Excel, PowerPoint, Outlook, and Teams.
- Strong organizational and time management skills as well as the ability to prioritize and meet deadlines.
- Must be willing to work in-office.
- Ability to encourage a positive working atmosphere by being adaptable, communicative, and solution-oriented when collaborating with project managers, engineers, and other team members.
